A retrieval system across 149 live projects, so deal teams stop hunting for documents and start answering questions.

CHALLENGES
OUR APPROACH
aXYKno's problem wasn't missing information. It was that 149 projects had each accumulated their own records, in their own places, with their own conventions. Anyone needing a figure from an earlier engagement had to know where to look, or know who to ask. That knowledge lived in people's heads, and it didn't scale.
We built a retrieval system across the whole corpus — more than 10,000 documents spanning every project — indexed so it can be queried in plain English. Someone asks a question and gets the answer with the source document attached, rather than a list of files to open.
Accuracy on a system like this isn't something you assert once and hope holds. We tested it against 200 questions written from real internal queries, automated so the whole suite can be re-run every time the corpus changes. That suite ships as part of the maintenance plan: accuracy is monitored, not assumed.

THE RESULTS
A question that used to mean opening folders now returns an answer and the document it came from. Across 200 test questions drawn from real internal use, the system answered correctly 99% of the time, with hallucinations under 1% — and that suite re-runs as the corpus grows.
Under 1% hallucination rate across the 200-question test suite.
